How to use this calculator
Start by entering the number of adults and kids attending your event. Kids are counted as half portions since children under 12 typically eat about half of what adults eat.
Next, select the meal type. A full meal includes protein, sides, salad, bread, dessert, and drinks. An appetizers only event calculates finger food quantities based on how many hours your event will last. You can also choose light bites for a casual gathering that falls somewhere in between.
The calculator gives you per person amounts and total quantities for every food category. Use the totals as your shopping list. If you are serving multiple protein options (like burgers and chicken), divide the total protein amount between them rather than buying the full amount of each.
The drink and ice estimates account for event duration. Guests drink more in the first hour and taper off, so longer events do not simply multiply the per hour rate. The ice estimate includes both drinks and cooler needs.
General food quantity guidelines
For a full meal, plan on about 1 to 1.5 pounds of total food per adult guest. That breaks down to roughly 6 to 8 ounces of protein (raw weight), 4 to 6 ounces each of two or three side dishes, 2 to 3 ounces of salad, and 1 to 2 rolls or pieces of bread.
Keep in mind that raw meat loses weight during cooking. Burgers and chicken lose about 25 percent, while slow cooked meats like pulled pork and brisket can lose 40 to 50 percent. The calculator accounts for this by estimating raw purchase amounts, not cooked serving sizes.
For appetizer only events, the standard is 6 to 8 pieces per person per hour. Offer at least 3 to 4 different options so guests have variety, and plan for heavier items if the event falls during typical meal hours.
